Privacy Policy

1. Our Commitment

Ovum Pty Ltd ("the Company," "we," "us," or "our"), of Level 5, 121 King Street, Melbourne VIC 3000, Australia, operates the Ovum breeding analytics platform at inaskovum.com. The Company handles personal information in accordance with the Australian Privacy Principles ("APPs") under the Privacy Act 1988 (Cth). Contact us at [email protected].

Ovum is a software service for dairy herd managers. It reads activity collar telemetry and per-cow cycle records to predict each cow's 12-hour conception window and deliver breeding alerts. This policy explains what personal information we collect from farm operators, herd managers, and visitors to the site, and how we handle it.

2. Personal Information We Collect

The categories of personal information we collect depend on how you interact with the platform:

  • Account and contact information you provide on registration: name, email address, farm name, approximate herd size, and login credentials.
  • Farm and herd operational data you submit to the platform: collar telemetry files (CSV or API sync), cycle history records, and individual cow identification numbers. These records identify your farm and your animals but generally do not constitute personal information about individuals. Where such records can be linked back to a named person (for example, the farm operator), we treat them with the same care as personal information.
  • Communication content: emails, support tickets, and messages you send to us.
  • Technical and usage information collected automatically when you use the platform: IP address, browser type, device identifiers, pages visited, feature interactions, and session timestamps.
  • Analytics information collected by self-hosted analytics tools to measure platform usage and improve the service.

3. Purposes of Collection and Use (APP 3, APP 6)

We collect and use personal information only for purposes that are reasonably necessary to operate the Ovum service, including:

  • Creating and managing your account and verifying your identity on sign-in;
  • Ingesting and processing collar telemetry and cycle history to generate per-cow breeding window predictions and alerts;
  • Delivering breeding window notifications via push, SMS, or email as configured by you;
  • Responding to your inquiries and providing customer and technical support;
  • Measuring platform usage and improving the accuracy of the prediction model (using aggregated and de-identified data only, unless you have given separate written consent for use of identifiable data);
  • Sending product updates and service communications;
  • Complying with legal obligations.

We do not use farm herd data or collar telemetry to train machine-learning models beyond the scope of delivering your own breeding predictions without your explicit written consent.

4. Disclosure of Personal Information (APP 6, APP 8)

We disclose personal information to third parties only in the following circumstances:

  • Service providers acting as processors on our behalf (for example, cloud hosting, email delivery, SMS gateway providers). These providers are contractually bound to handle data in accordance with our instructions and to maintain appropriate security.
  • Legal obligations: where disclosure is required by Australian law, a court order, or regulatory authority.
  • Business transfers: in the event of a merger, acquisition, or sale of the Company, personal information held by the Company may be transferred to the incoming entity, subject to the same privacy protections.

We do not sell personal information to third parties. We do not disclose personal information for third-party direct marketing.

Where personal information is disclosed to overseas recipients (for example, cloud infrastructure located outside Australia), the Company takes reasonable steps to ensure the recipient is bound by privacy obligations substantially similar to the APPs, in accordance with APP 8.

5. Your APP Rights

Under the Privacy Act 1988 (Cth) you have the following rights in relation to personal information the Company holds about you:

  • APP 12 - Access: you may request access to the personal information we hold about you;
  • APP 13 - Correction: you may request that we correct personal information that is inaccurate, out of date, incomplete, irrelevant, or misleading;
  • APP 7 - Direct marketing opt-out: you may opt out of receiving direct marketing communications from us at any time;
  • APP 2 - Anonymity and pseudonymity: where lawful and practicable, you may interact with us without identifying yourself.

To exercise any of these rights, email [email protected]. We will respond within 30 days. If we decline a request we will give written reasons.

6. Complaints

If you believe the Company has not handled your personal information in accordance with the APPs, please contact us first at [email protected]. We will investigate and respond within 30 days.

If your complaint remains unresolved, you may lodge a complaint with the Office of the Australian Information Commissioner ("OAIC") at oaic.gov.au. The OAIC is the regulator for the Privacy Act 1988 (Cth).

7. Notifiable Data Breaches

If a data breach involving your personal information is likely to result in serious harm, the Company will notify you and the OAIC as required by the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act 1988 (Cth). We maintain reasonable technical and organisational security measures to prevent unauthorised access to, or disclosure of, personal information.

8. Data Retention

We retain personal information for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. Farm herd and collar telemetry data is retained for the duration of your subscription and deleted within 90 days of account closure, unless a longer retention period is required by law or requested by you in writing.
